Self-Hosted vs Cloud GPS Tracking for Resellers: The 2026 Decision Guide

GPS Software

There is self-hosted GPS tracking software that is installed on your own server or rented from a vendor and will have an upfront licence fee, or cloud (hosted) GPS tracking software that will run on the vendor's servers for a recurring fee per device or per tier. Resellers have the advantage of cloud being easy to get up and running, and self-hosted is typically more cost effective when scaling beyond about 100 to 700 devices or when you need your own domain, data location and no per-device fees.

This article features Fleet Stack's products, which are self-hosted white label GPS tracking software. This guide provides you with the maths of both models so you can compare it to any vendor's actual quote including ours.

Key takeaways

There are only two ways of looking at the decision, which is one equation: a one-time licence plus monthly running cost, versus a monthly fee per device multiplied by your fleet.

The $3,499 self-hosted licence would even out at approximately 200 devices over 3 years on a $1 per device cloud fee and $100 per month server cost.

Server load = devices / reporting interval (sec) - 1,000 trackers reporting every 30 seconds = 33 messages per second.

AIS-140 has nothing to do with the host, it is hardware and a state-registration requirement.

Manage point tracking from your own domain from the start; this allows for platform switching to be a DNS change instead of having to visit each vehicle.

The short answer: so which one do you select?

Choose according to your stage, not by the sound of the model!

  • Under about 100 devices, still validating demand: start on a cloud (hosted) plan. You don't have to do any server work, and can change your mind later.
  • 100 – 400 devices and more: Now use your own numbers to run the below break-even table. This is where most resellers turn a corner.
  • If you need more than 400 devices or a data-residency or branding requirement, self-hosted will typically be less expensive over the three-year period and you'll have complete control of the domain, data and the customer relationship.
  • No technical ability of your own, and no budget for an admin: you begin on cloud; the server is running by the vendor, you don't have to take care of it.

What is the difference between Self-hosted GPS tracking and cloud GPS tracking?

There are two models available: You rent access to the servers, which are running by the vendor, from the cloud. Self-hosted implies a purchase or license of the software and its subsequent operation on their own server, in which the data is stored in their own database and the platform works under their domain.

Factor Cloud (hosted) Self-hosted
Cost shape Monthly fee, often per device or per tier One-time licence + server cost
Cost as you grow Rises with every device Flat until the server is outgrown
Who runs the server Vendor You (or a host you hire)
Your domain and branding Usually a white-label add-on or higher tier Full control
Data location and ownership Vendor's region and terms Your choice of region; data in your own database
Updates Automatic You apply them
Uptime and backups Vendor's responsibility Yours
Exit / lock-in Data export depends on the vendor You already hold the database
Best for Testing a market, small fleets Larger fleets, cost and control focus

There are two that are independent of this choice. This is device hardware certification (AIS-140 in India) and does not relate to where your platform runs; our AIS-140 compliance guide explains that. Any model is the same as far as tracker is concerned, the tracker will post data to a server address that you select.

Before Self Hosted Devices, How Many? The break-even maths

The three-year cost of self-hosted is lower than per-device fees, making it a cost-effective solution. The formula is shown below: The table shows how $3,499 is applied to the one-time licence cost quoted by Fleet Stack on its purchase page as of 2026.

The number of break even devices = (Licence + 36 x Monthly running cost) / (36 x Cloud fee per device per month)

Monthly running cost" is all that is paid to keep the server running: Server, backups, monitoring and admin time. 2 cases are displayed, one of $100 per month and another of $250 per month if you hire someone to do it for you.

Cloud fee per device / monthBreak-even devices ($100/mo running cost)Break-even devices ($250/mo running cost)
$0.50394694
$1.00197347
$2.0099174

If the cloud cost is $1 per device and the server costs $100 per month, then self-hosting will cost less than $100 at approximately 200 devices after 3 years. It's about 100 devices per $2. At the lower altitudes, often the easier and more cost-effective option is cloud.

A flat tier cloud plan is the answer to that. Some vendors charge tiered pricing instead of per device. For instance, on the pricing page of GPSWOX, you will find plans starting at EUR 99 per month and an "Unlimited" option (ticked 2026). Third-party listings quote $99, $199 and $290 tiers. Three years of cloud cost $150 x 36 months or $5,400, a price that is lower than self-hosted, which is $7,099 at $100 a month. On flat tiers, cloud becomes cheaper once any plan reaches the number of devices at which one must go up a tier; self-hosting becomes more economical in terms of control and margin per customer, not strictly in terms of cost.

The inputs given here are examples. Before making a decision, replace the per-device fee and running cost with actual figures and include your own revenue per device (what you charge end customers is more important than what you pay for software). See our white label GPS pricing guide for margin and sim cost workings.

How to calculate your own monthly running expense

If you've never had a tracking server, these should be the line items to add up with typical ranges for a small fleet for sanity checking a quote:

1. Monthly vehicle expenses Vehicle expenses (e.g., fuel, maintenance, part and lubricant costs) Typical small fleet range / month

Monitoring and uptime alertsKnowing before your customers do$0 to $25
SSL certificateHTTPS on your domain$0 (Let's Encrypt) to $75/yr.
Admin timeUpdates, incidents, growthA few hours; $0 if you do, $100+ if you hire
  • VPS or cloud instance with this configurations: CPU, RAM, SSD for the app and database $20 to $120
  • Each month, you can have your databases backed up and stored off the server for an additional $5-$30 a month.

When a reseller has a single VPS that he or she manages directly, the reseller is in the category of companies that can be expected to be in the $100/month range. It's administered by another party for a fee and you approach the $250 column, which is why you see both in the break-even table.

What size of server is a reseller fleet going to require?

One number is used to set the server load, messages per second, which is devices / reporting interval in seconds. A fleet of 1,000 trackers reporting every 30 seconds sends about 33 messages a second.

The input into storage increases as the input increases. The 30 second interval tracker reports 2,880 positions per day, 24 hours a day. For a thousand such devices, that's 2.9 million rows per day or approximately 86 million per month. At 150 bytes per row, that's roughly 13 GB per month (before indexes), so you should be prepared to use 2-3 times that, and implement a retention policy, such as 12 months of detailed history.

Devices Every 10 s Every 30 s Every 60 s
200 20 msg/s 6.7 msg/s 3.3 msg/s
1,000 100 msg/s 33 msg/s 16.7 msg/s
5,000 500 msg/s 167 msg/s 83 msg/s

It is important to note that to avoid overloading the engine, there are some rules of thumb to follow and not to blindly trust:

  • The table is intended to be a maximum and not an average; most real fleets report only when they are moving.
  • A spike has more weight than average - a spike where 1,000 trackers are reconnected simultaneously results in a buffer of that same history.
  • Store database on SSD drives; make daily backups off-server.
  • Before selling that capacity, have a load test running with simulated devices at double the capacity you are aiming to sell.

Which is the best model for which reseller?

Your situation Likely best fit Why
First 50 customers, unproven demand Cloud No upfront licence, no server to run, easy to stop
100 to 400 devices, one technical person Self-hosted Per-device fees start to exceed fixed costs
Customers needing local data storage (government, transport, enterprise) Self-hosted You choose the data centre and the access rules
Selling under your own brand across several regions Self-hosted with multi-tenant accounts One server, many reseller and customer accounts under your domain

If you're just beginning the process, read how to start a GPS tracking business. Read white label vs custom development before deciding to build or buy your platform. The hidden costs with pricing when the hosting company: a developer or admin to apply updates, a backup plan that you actually test, an SSL certificate, monitoring, and the cost of an outage when you're the only person that can fix it.

A worked example: 250 devices over 3 years

Compare a cloud plan for $1 per device per month to a $3,499 self-hosted licence for $100 per month on a reseller having 250 trackers.

Over 3 yearsCloud ($1/device/mo)Self-hosted ($3,499 + $100/mo)
Software / platform cost250 x $1 x 36 = $9,000$3,499
Server and running costIncluded$100 x 36 = $3,600
Total cost$9,000$7,099
Revenue (250 x $4 x 36)$36,000$36,000
Gross profit$27,000$28,901

In this scenario, the two models are pretty even at 250 devices, where self-hosted is about $1,900 up front over three years, and has the complete control of the domain and data. The price difference becomes significant at 500 devices, as the cloud fee increases by 100% but the licence doesn't. The cloud plan would cost less at 100 devices. It is this crossover that the break-even table foretells; it isn't a foregone conclusion that one crossover is better than another.

Is there any way to track GPS without it being self-tracked?

When the data is hosted in a self-hosted platform, it is stored on your own database, in your region of choice, and it is probably the reason why you're asked for by regulated customers. The downside is that it's now up to you to keep it secure, not the vendor. The baseline to put in place:

  • HTTPS on your domain, certificates that automatically renew.
  • Firewall with only the necessary app and tracker protocol ports open.
  • Daily encrypted backups (not on the server) and a restore that you have tested.
  • Encourage updates to the operating system and application.
  • Per customer accounts and roles, which means that one customer cannot see another's vehicles.

Most of this goes to the vendor, which works well for resellers who don't have security personnel on staff, but you get the vendor's region, retention and breach handling terms. Both models are not necessarily safer—only safer in different places. As mentioned above, data residency and certification are a hosting decision, but not the case for AIS-140 device certification.

May be able to move to another platform later? Migration and lock-in

Yes, if you are prepared for it on day 1. The most helpful change to make is to register your own domain name as your trackers, such as track.yourbrand.com rather than the trackers vendor's server address. Moving platforms = repoint DNS, devices follow = no visits to each vehicle.

When choosing a platform to engage in the business before you, ask these questions in writing:

  • Is there a way to export all device, vehicle, user and position history in an open format (CSV/Database Dump)?
  • Yes, customers can retain their own login and they can add their own branding to my domain.
  • 3. Does the tracker server address set by me or the vendor?
  • 5. Can the vendor exist without the data or licence?
  • 5. Will there be a cost to export data or to switch plans?

The cloud-to-self-hosted move requires a data import and maintenance window. For those who already own the database, a self-hosted-to-cloud migration is typically much easier. In any case, try it out on 10 devices before you migrate the fleet.

Where is the hosting for which platforms? (as of 2026)

This table provides the hosting options for each public source as they appeared in 2026; they can vary among vendors and change frequently. Not publicly stated does not mean it does not exist, it merely means that it isn't something we found. Always check with each vendor before purchasing. Frequently asked questions

Are cloud GPS tracking software systems less costly than self-hosted?
After break-even fleet size. The cost of self-hosting is $3,499 with $100 per month in running costs, while a $1 per device cloud fee from approximately 200 devices over three years is more expensive. Under that, cloud is typically lower cost.

Is it possible to white label a cloud GPS platform?
Yes, but it may be at higher levels or with add-on charges for branding, custom domains and reseller accounts. Question if domain, logo, login page and emails are all covered, and if you can change the tracker server address.

What is the maximum number of devices supported per server?
This varies depending on the reporting interval and software. Calculate number of devices based on interval in seconds, then load test at 2X the number of devices you want to target. The figure of 1,000 devices x 30 seconds is approximately 33 messages per second.

Am I the owner of my data in the cloud?
Not automatically. The ownership and export rights are determined by the vendor's contract. Ask for an export procedure written down prior to on boarding customers.

Is AIS-140 cloud or self-hosted?
No. AIS-140 only refers to the tracking hardware, and compliance also includes signing up with the appropriate state backend. The data may go either to the host that is the actual server or to the host that is the client.

Fleet Stack offers white label GPS tracking software to be self-hosted. The prices and vendor information listed in this article is accurate at the time of publication and is subject to change; please contact each vendor prior to purchase for current information.
